TERMS AND CONDITIONS

We kindly ask all clients to read the following terms and conditions before booking. By booking an appointment at the Dr Tom Clinic, you are agreeing to the terms set out below.

Booking and Deposits

All appointments require a non-refundable booking fee to secure your slot. This fee varies depending on the treatment and will be deducted from the final balance on the day of treatment. Bookings will not be confirmed until the deposit is received. 

 

If no treatment is carried out during the appointment - whether due to clinical reasons or client decision - the booking or consultation fee will be retained to cover professional time and advice.

 

Cancellation Policy

Due to the bespoke nature of our services, we ask for a minimum of 72 hours notice to reschedule or cancel your appointment. Cancellations must be made by our booking system (via your appointment confirmation email), messaging @thedrtomclinic on Instagram or email drtomaesthetics@outlook.com. You must receive a reply confirming the cancellation.

Cancellations made less than 72 hours before an appointment will forfeit the booking fee and will not be eligible for transfer or refund. With appropriate 72+ hours notice, we may transfer your booking fee once to a new appointment date, within 16 weeks, at the clinic’s discretion. Requests to reschedule beyond 16 weeks will result in loss of the booking fee.

If you need to reschedule, your appointment can only be moved to the same practitioner. Deposits are non transferable between practitioners, meaning deposits paid for one practitioner cannot be transferred to another practitioner.

If you arrive more than 15 minutes late, this will be considered a no-show, and the booking fee will be forfeited. If cancelling or rescheduling a follow up appointment less than 24 hours before your appointment time, a fee of £30 will be charged. If you do not attend a booked appointment or fail to advise us as per the policy in advance this will be classed as a no-show and you’ll be billed the full cost of treatment.​​

Purchases on any treatment carried out are non refundable.

Gift Vouchers

Gift vouchers are non-refundable and not redeemable for cash. They must be used within 12 months of the purchase date.

Treatment Conditions

All clients must complete and sign a medical history and consent form prior to treatment. By signing this form, you confirm that you understand the potential risks and benefits of treatment and accept that results may vary.

We reserve the right to decline treatment if it is deemed unsuitable or medically inappropriate. In such cases, booking fees are still retained for time and advice provided. You must provide accurate, up-to-date medical information before each treatment. The Dr Tom Clinic is not liable for complications resulting from withheld or incorrect medical details.

Complications and Medical Follow-Up

While complications are rare, all aesthetic procedures carry risks. In the event of a complication:

• Dr Tom will provide appropriate medical support and advice.

• If required, you may be asked to travel to the clinic for an in-person review.

• In serious or urgent cases, you may be referred to NHS services or private care (at your own cost).

• Be aware that cosmetic treatments are not typically covered by private health insurance.

Liability

The Dr Tom Clinic will not be liable for:

• Loss of income, profits, or indirect damages resulting from treatment or cancellation.

• Reactions, complications, or dissatisfaction with results, provided treatment was carried out according to clinical standards.

Nothing in these terms limits liability for death or injury caused by negligence. Clients agree to follow all pre- and post-treatment instructions to ensure optimal results and minimise risks.

Children and Guests

Clients are kindly asked not to bring children under the age of 10, unless a responsible adult is present to supervise them during the appointment.

Complaints

We are committed to high standards of care and welcome feedback. Complaints should be made by email to drtomaesthetics@outlook.com. You will receive an acknowledgment within 72 hours. Where appropriate, you may be invited for a review consultation. If a gesture of goodwill is offered, a signed agreement must be completed in person and witnessed by a clinic staff member.

Availability and Changes

All treatments, services, and offers are subject to availability and may be withdrawn or changed at any time. By booking an appointment at the Dr Tom Clinic, you confirm that you have read, understood, and agree to these terms and conditions.
